By booking a tour, trek, holiday, or any service with THE DP TOURS, you (“Client/Traveler”) agree to abide by the following Terms & Conditions. These terms are legally binding and applicable to all bookings, individuals, and group departures.
1. GENERAL GUIDELINES & CONDUCT
The use of narcotics, drugs, or any banned substances is strictly prohibited during the tour. THE DP TOURS will not be responsible for any consequences arising from such acts.
Weapons, fireworks, inflammable or toxic substances are strictly prohibited. Any violation attracting legal action shall be solely the traveler’s responsibility.
Any act of misbehavior, nuisance, indiscipline, or non-cooperation with fellow travelers, staff, vendors, or coordinators will result in immediate eviction from the tour without any refund.
2. PAYMENT TERMS
Full payment is mandatory before trip commencement.
Any pending or delayed payment may lead to cancellation of the booking without refund.
Advance/booking amounts are non-refundable and non-transferable.
No refund shall be provided for any inclusions not availed, voluntarily or involuntarily.
3. CANCELLATION & REFUND POLICY (STRICT)
Once booked, registrations/tickets cannot be exchanged, canceled, or refunded unless explicitly mentioned in a written agreement.
3.1 Group Formation Clause
In case a group tour does not form due to insufficient participants, THE DP TOURS reserves full rights to:
Transfer the booking to any next available date, or Change the destination, or Adjust the booking in any upcoming trip
This decision shall be solely at the discretion of THE DP TOURS.
No cash refund shall be applicable under such circumstances.
3.2 Festival / Peak / Weekend Policy (IMPORTANT)
During festival seasons, long weekends, peak seasons, government holidays, or special dates (including but not limited to Holi, Diwali, Christmas, New Year, Good Friday, extended weekends, etc…):
No refund will be applicable under any circumstances, including cancellations, delays, weather issues, roadblocks, personal emergencies, or operational changes.
3.3 Room Sharing & Accommodation Allocation (Peak Season Clause)
During peak season, festival time, or high-demand periods in destinations such as Manali, Kasol, Jibhi, and Himachal region, room availability is extremely limited.
Room allocation shall be done as per availability and operational feasibility, not strictly as per the traveler’s booking preference (single/double/triple sharing).
Travelers may be accommodated on adjusted or mixed sharing basis as decided by THE DP TOURS.
In camps/hotels thery are limited accommodations, 4–5 travelers may be accommodated together on a sharing basis if required.
No refund or compensation shall be provided due to room-sharing adjustments or accommodation limitations.
4. ITINERARY CHANGES & DELAYS
THE DP TOURS reserves the right to modify, alter, reschedule, or cancel any part of the itinerary due to:
Weather conditions, Road conditions, Landslides, Natural calamities, Government restrictions, Traffic delays, Physical ability or safety of participants
The tour coordinator’s decision will be final and binding in on-ground situations.
If delays occur, sightseeing or activities may be skipped or canceled without any refund.
5. HEALTH, SAFETY & RISK DISCLOSURE
Smoking and drinking are strictly prohibited in vehicles and may be restricted during the tour for safety reasons.
Adventure travel involves inherent risks including accidents, injuries, illness, delays, financial loss, or death.
THE DP TOURS does not provide medical, travel, accident, or theft insurance.
Travelers participate at their own risk and are responsible for their physical fitness.
6. RESPONSIBILITY & LIABILITY LIMITATION
Travelers are solely responsible for their luggage, valuables, and personal belongings.
THE DP TOURS shall not be responsible for loss, theft, or damage to personal property.
THE DP TOURS is not liable for:
Accidents, Illness, Injuries, Death, Loss of enjoyment
Delays or omissions caused by third parties or circumstances beyond control
7. ACCOMMODATION & CAMPSITE RULES
Check-in time: 12:00 PM onwards | Check-out time: 10:00 AM (subject to hotel policy).
Hot or cold water availability is not guaranteed, especially in hilly or remote regions.
Room configuration (double/twin/triple) is subject to availability at check-in.
Any damage or misuse of hotel/camp property will be charged directly to the traveler.
Campsite/hotel entry is strictly limited to booked travelers only. Outside guests are not allowed without prior approval.
Campsite/hotel bookings are confirmed only after full payment.
8. TRANSPORTATION TERMS
No backup transport will be provided in case of vehicle breakdowns. Travelers must cooperate until repairs are completed.
Air-conditioning in hilly areas will be used at the driver’s discretion.
Missing the departure due to late arrival will be treated as no-show with no refund.
9. EXTRA COSTS (NOT INCLUDED)
Local permits, green taxes, entry tickets, adventure activities
Rohtang Pass / Sissu permits or 4×4 vehicle charges
Pony rides, porters, personal expenses
Extended stay costs due to natural calamities or road closures
Any additional expenses must be borne by the traveler directly.
10. EXTENDED STAY & NATURAL CALAMITIES
In case of landslides, weather issues, political unrest, or natural disasters requiring an extended stay:
All additional accommodation, meals, and transport costs will be borne by the traveler.
THE DP TOURS will prioritize safety but no refund or compensation shall be provided.
11. CONTENT, PHOTOS & VIDEOS
All photos/videos captured during the trip (by THE DP TOURS team or clients) may be used for marketing, promotions, and social media.
Clients may not use this content for commercial or advertising purposes without written permission.
12. IDENTIFICATION REQUIREMENT
All travelers must carry a valid government-issued photo ID during the trip.
Boarding may be denied without a valid ID, with no refund.
13. EVICTION RIGHTS
THE DP TOURS reserves the right to remove any participant at any time due to misconduct, rule violation, or safety concerns.
No refund will be provided in such cases.
14. PRIVACY POLICY
Personal information collected (Name, Phone Number, Email, ID details) is used only for service execution.
Data is kept confidential and shared only with authorized internal staff or when required by law.
THE DP TOURS does not sell or misuse customer data.
15. LEGAL JURISDICTION
Any dispute shall be subject to the jurisdiction of courts in New Delhi, India.
By booking with THE DP TOURS, the traveler confirms acceptance of all terms mentioned above.
